Allocations Minutes July 20, 2005
The Allocations Committee (AC) met via conference call on July 20, 2005 at 2:05 p.m. to discuss the upcoming allocations process to take place at the end of July and a reallocation request from BVCAA.

The meeting was called to order at 2:05 p.m.
The Chair asked if everyone had reviewed the request. All have reviewed. The Chair then asked if any committee members had any questions. No members had questions. The committee was then asked if they agreed with and approved the reallocation request for BVCAA State Services grant for 2004 - 2005. All committee members agreed. The Chair stated that consensus was reached on the request.
The request will be sent to the Executive Committee with the recommendation from the Allocation Committee that it be approved.
The Chair then discussed the new timeline for allocations with the committee. The allocations process that had originally been scheduled for July 25 and 26 has been cancelled. The Allocations Committee will meet in Austin on August 9, from 1 p.m. to 4 p.m., after the Central Texas HIV Planning Council (CTHPC) meeting. The committee will reconvene at 8 a.m. on Wednesday, August 10. The meeting place for Wednesday has not yet been determined. Suggestions were made as to the location. Ms. Crowell informed the committee that the meeting place is dependent on availability and cost, but the AA will try to accommodate committee members as best as possible. As soon as meeting place arrangements are finalized, the committee will be notified.
A question was raised outside of the committee meetings as to whether or not the allocations had to be completed in August. After consulting with a representative from DSHS, the allocations have to be completed prior to the AA distributing the requests for proposals. The time line for allocations was discussed. Mr. Hamilton noted that the committee could go into the first two weeks of September with sufficient time remaining for public comment prior to the October meeting of the CTHPC.
Ms. Crowell informed committee members that they would be receiving data and information to be used for allocations prior to the August 9 meeting. Committee members were instructed to review and become comfortable with the data prior to the meeting.
